A Step-by-Step Guide to our 8 Week Implementation Process

We know that getting started with your Firm Library can be daunting. However, an Acelab team of experts will shepherd you through the process. Together, we will turn your firm history into real insights! We will take you through a series of steps and support you along the way.

Overview

The onboarding process is broken down into 3 steps to allow us to quality control and get input along the way. The 3 stages are:

  • Stage 1: Implementation

  • Stage 2: Library & Templating

  • Stage 3: Project Pilots

  • Stage 4: Rollout

Along the way we will set up a series of calls, do work on your behalf, and then ask you to review and input your thoughts so your firm library and project templates are setup exactly the way you want your firm to use them.

Once we complete the onboarding, our team will be available to you via monthly office hours and live chat as well!


Stage 1: Implementation

Kick-Off Call - 45min

In our first call, we'll discuss the roll-out plan with the core library or project team. We’ll review project history and organizational goals to ensure you have a clear picture of what will come next!

At the end of this call our team will open up a Material History Audit Ticket.

Post-Call Action Items:

  • We'll share a unique onboarding portal for your company. You'll be able to upload your project information here

  • Share list of team emails to add into Acelab’s library

  • Determine 1-2 Pilot Project Teams and share project info.

Historical Audit & Product Mapping

Once our team receives the above information from you, we will review them in-depth using our proprietary AI tools. Our team will extract building product data line-by-line and associate them with our extensive database to understand your coverage across all CSI Categories.

Next, our implementation team will upload all of your used products into a digital firm library in your company account. You will receive a message as soon as this is complete, along with access to the information below. Our team will also share recommendations whenever we believe there might be gaps in your firm library


Stage 2: Library & Templating

Library Working Session - 45min

During this call we will review the firm library build-out that Acelab's team has put together and provide next steps to enrich your library. We'll make sure to identify key collaborators in your team and layout action items in the onboarding portal to tag, organize, and build "sub-libraries" in your company profile.

We'll also schedule working sessions for the 2 pilot project teams to get them fully setup in Acelab

Post-Call Action Items:

  • Begin Review of Library Sections by CSI Division.

  • Identify Key Information for Firm Use: Columns, Material Tags, etc.

Additional Working Sessions - 30min

We'll come back to review your progress with the firm library, and transition into the next step: SpecPlanner Templating. We have some very easy tools to build templates across various offices and project types with ease. These will act as checklists to expedite project startup.


Stage 3: Project Pilots

We will embark on 4 project sessions to ensure you are moving forward with ease. These will be Weekly (somewhat of a sprint) to get you moving.

Project Startup Session - 45min

In the first of 4 project startup calls, we will ask for you to bring along your project team (ideally a Project Manager and Technical Architect) to establish standard operating procedures for decision-making. Our team will break down the next few weeks based on the key CSI Divisions where project research needs to be focused.

Project Work Sessions (2-3 additional) - 30min each

We will check-in periodically to ensure all your categories are captured and templates are setup for easy export and sharing. During these stages, our team will also happily provide building product recommendations to ensure your team is working towards the best selections possible.


Finish Line: Roll-Out

Congratulations! At this point you will be done with your onboarding and off to making faster and easier material-decisions through process. We'll help put together guides and standard operating procedures for your library maintenance and project teams.

Monthly Office Hours

You will be assigned a dedicated account manager who will check-in on your experience and provide any additional team training, onboarding support, project startups, and any additional support you require from our team. Sharing your feedback (good and bad) on our product during these calls will help us improve the tools you have access too!

Live Chat

Our website has a live chat and ticketing tool through which you are always welcome to reach out to us. I would suggest treating it like IT support but with architects who can answer all your granular building product-related questions.
