Best Practices for sharing documents with Acelab's Implentation Team

Overview

Our team will build your digital Firm Library in the Materials Hub. To get started, you must submit drawing and/or specifications with information about products your firm has used in the past. Learn more about the process here.

Please, follow the instructions and recommendations below for each type of document to ensure a smoother and faster process.

For All File Types

File Quality - Ensure all scans are legible and high-quality for the best processing. Avoid blurry or low-resolution images.

File Size - Keep file sizes manageable for easy uploading and downloading. If a file is too large, consider compressing it or splitting it into smaller parts.


Specifications (Preferred Document)

Specifications are one of the most helpful document sets for our Implementation team to work with.

Critical Sections to Include

  • Sections 03-12 (these sections cover building materials and architectural systems).

Omissions

  • Exclude sections that don’t directly relate to materials or architectural building systems (e.g., Procurement, Contracting Requirements, General Requirements, Existing Conditions, Utilities, Transportation, etc.).


Finish Schedules

Finish schedules are incredibly helpful if setup in a spreadsheet. If these are in Google Sheets or Excel, we recommend exporting them as a CSV file before uploading.

File Naming

  • If the schedule is specific to one building, name the file with the project name.

  • If this is a Firm Library, Sustainability, or Standards document, specify that in the file's name.

Document Requirements

  • Organized CSV or PDF format.

  • Clearly state the manufacturer and the specific product line for each finish.

Submission Recommendations

  • Ensure that the document is easy to navigate and well-organized to help our team compile the material library efficiently.


Submittals & Bid Packages

These are incredibly accurate documents for our team to look at, but often come with lots of additional information and pages. Please combine all disparate submittals into a single PDF for our team to parse through.
Ideally, include an overview of all the products selected. This will give our team an even better picture and allow them to deliver the firm library much quicker.

Note: Expect a longer lead time with libraries where this is the primary document being uploaded.

File Organization

  • PDF format with clearly labeled folders based on categories (e.g., cladding, windows, doors, flooring, etc.).

  • If there are multiple files for each category, please merge them into one document. This will streamline the review process.

Important Submittals

  • Product Data Sheets are the most valuable for building material information.

  • Only upload the latest version of the files per manufacturer to avoid duplicates.

Submission Recommendations

  • Remove any unnecessary documents, such as LEED checklists and EPD’s.


Construction Documents

These can be submitted as additional files, but we do not recommend sending Construction Documents as the primary source of product information.

Note: Expect a longer lead time with libraries where this is the primary document being uploaded.

Packaging Files

Extract key material pages (see below). In addition, ensure that information from each project is packaged into a single PDF file.

Key Pages to Include

  • Cover Sheet

  • First Floor Plan

  • Roofing Plan

  • Schedules (Lighting, Finishes, Door, Window)

  • Exterior Elevations

  • Sections and Details

  • Any additional sheets with Legends (Wall Types, Ceiling Types, Floor Types, etc.)

Submission Recommendations

  • Unflattened Files: When packaging this information, be sure to submit "unflattened files" so we can extract embedded text for easier scanning.

  • Single PDF Package: Consolidate all relevant documents into a single PDF. This will make it easier for our team to navigate and process.


Important: The quality of the Firm Library depends on the type of files you submit. Providing the recommended document types, such as specifications or material charts, allows us to upload between 100-600 products to your library. However, if you submit less specific documents, like non-products-specific CDs, the Firm Library will reflect this limitation, typically resulting in fewer than 50 products added.


Implementation Time

Our turnaround time is typically 2 weeks from the date you submit your files.

  • Open your Onboarding portal

  • Scroll down to the Upload Portal section

  • Use the Upload Files button, or drag and drop your files
